TurtlePic is a web-based application that allows agencies, individuals, and their guests to upload, share, and access event photos through secure gallery links.

3.Who Uses TurtlePic

TurtlePic supports multiple user types:

1. Agencies / Individual Users – who create events and upload photos
2. Team Members – added to an agency workspace
3. Guest Users – who access event galleries via shared links. Guests are not required to create an account to view photos.

4. How Galleries Work

Event galleries can be shared in two ways:

a) Full Access Galleries – Anyone with the link can view all photos.
b) Limited Access Galleries – Guests must upload a selfie. Using optional face recognition, they are shown only the photos they appear in.

5. Information We Collect

a) Account Information – Collected from agencies, individual users, and team members:

• Name
• Email address
• Phone number

Guests may be asked to provide email and/or phone number + other details only if the gallery owner requires it.

b) Authentication Data

• OTP-based login
• Google social login (if chosen by the user)

c) Photos & Selfies:

• Event photos uploaded by agencies, individuals, or team members
• Selfies uploaded by guests for optional face-based photo search

d) Face Recognition Data:

• We generate and store face embeddings (numerical representations)
• These embeddings are not tagged to real-world identities
• They are used only for matching selfies with event photos

e) Usage & Location Data

• We collect broad, non-personal geographic data (e.g., country/region) to understand gallery usage
• We do not track individual users’ precise locations, IP addresses, or devices

6. How We Use Your Information

We use collected information to:

• Provide access to event galleries
• Enable optional face-based photo discovery
• Manage user accounts and authentication
• Allow gallery owners to view details shared by guests
• Improve platform performance and reliability

We do not use your data for advertising or profiling.

7. Face Recognition – Important Clarification

Face recognition is optional

• It is used only to help users find their own photos
• Selfies are not reused for any other purpose
• Face embeddings are stored only while an event or subscription is active

Deletion of Face Data:

Face embeddings and related selfies are deleted when:

• The event is manually deleted
• The account subscription expires
• A user requests deletion

8. Data Sharing

We do not sell or rent your data.

We may use trusted service providers (such as cloud infrastructure services) strictly to operate TurtlePic. These providers:

• Do not own your data
• Cannot use it for their own purposes
• Are contractually bound to protect it

Event creators (businesses or individuals) can access guest details only at the event/gallery level, based on what guests choose or are required to share.

9. Data Security

We take security seriously.

• All data is encrypted at rest and in transit
• Face embeddings are encrypted and securely stored
• Access to systems is restricted and monitored

While no system is 100% secure, we follow industry-standard practices to safeguard your data.

10.Cookies & Sessions

TurtlePic uses essential cookies to:

• Maintain login sessions
• Keep users signed in for a limited period

We do not currently use cookies for advertising or cross-site tracking. If we introduce additional cookie usage in the future, this policy may be updated accordingly.

11. Data Retention

We retain data only as long as necessary to:

• Provide the service
• Meet legal or operational requirements
• Photos, face embeddings, and related data are deleted once events are removed or 30 days post account expiry, unless required otherwise by law.

12. Your Rights

You may request deletion of your data at any time. To do so, email us at contact@turtlepic.com . We aim to process requests within 14 days.

13. Children’s Privacy

TurtlePic does not knowingly collect personal data from children. Galleries are typically shared by event hosts, and guest access is controlled by them.

We may update this Privacy Policy from time to time.

Changes will take effect once published on our platform. Continued use of TurtlePic means you accept the updated policy.
